I am looking back to a successful IBTM World in Barcelona. This show took place in the exhibition halls of the Fira Barcelona from 27.-29.11.2018. I was very pleased to receive the invitation to participate in the Hosted Buyer Group of Deutsche Hospitality (Steigenberger Hotels AG). I enjoyed the time at the fair and also got the most out of it (due to early-bird and night-owl flights) and I had the opportunity to meet old and new partners and to expand my network. A great evening event in the Patron Restaurant rounded off the fair and I’m already looking forward to next year’s event!

Whether hotel bookings, seminars or event organization, Sarah Wirtz and her agency Travel 2 Meet in Hamm (Germany), offer an individual support to their business customers. As a child Sarah Wirtz was already traveling with her parents to many countries and was enthusiastic about other cultures. In this respect, her professional career was predetermined. After training as a foreign language correspondent (English and Spanish) and studying (International Business Administration at the University of Applied Sciences Bochum and International Tourism Management in Manchester), she worked for several years as a Key Account Manager for hotel booking companies. The 35-year-old organizes conferences, events, congresses, seminars, workshops and events for her clients. The service is free for the customer. A contract with the hotel will be signed, which in turn pays a commission to Sarah Wirtz’s agency. In addition to this very personal support, Travel 2 Meet also offers business customers a direct online MICE tool. The portal enables the user to independently search for hotels.

The job of one’s dream

“When I grow up, I want to work with hotels.” As a six-year-old, Sarah Wirtz flew with her parents to Spain, since then she is thrilled with the travel industry. The dream did not let her go. Today, the 34-year-old is the owner of the still young agency for business travel “Travel 2 Meet”, based in Hamm. Sarah Wirtz consistently made her way to her goal: college entrance qualification, training as a foreign language correspondent, study of international business administration in Bochum (Germany), degree as “Master of Science in International Tourism Management” in Great Britain. In addition to the theory, she has already gained extensive practical experience in travel agencies and international hotels. And she also had some practical experience as a tourist: “So I was in Barcelona in one single month, then in the Maldives and finally in New York City, sat on the plane for 45 hours.”

Hotel Specialist

Sarah Wirtz started her professional career in 2008 with the online reservation system / (“that’s how I came to Hamm”). She specializes in the so-called MICE area (MICE stands for Meeting Incentive Congress Event), negotiated contracts with renowned hotels and global hotel chains. And she represented the company at tourism trade fairs in Germany, Europe and the USA. “So I was able to get to know countless hotels in Germany and abroad and build up a large network in the industry,” the manager likes to think back. “That was a great time in a motivated team, unfortunately was sold four years ago and the office in Hamm was closed.” However, she decided not to move to Cologne for the new employer HRS. The now mother of two joined the Caritas Executive Board as Assistant to the Executive Board. “An interesting position, but in my mind there was more and more the idea of ​​taking the step into self-employment,” says Sarah Wirtz, “for sure it would be something in tourism.” The Economic Development of Hamm supported her plans, a business plan was created. The result: the founding of the agency “Travel 2 Meet”.

Service free of charge

In particular, her agency organizes meetings and conferences of different sizes: from 30 participants (for example, two days in a hotel with all the details) up to 500 people (as a giant event with a complete program). And the best thing for the organizers: “Our service is absolutely free of charge”, guarantees Sarah Wirtz, “the hotels pay a commission, through which we finance ourselves. The volume of our inquiries means that the customer always gets the best price from the hotels. “” We are completely independent in the choice of hotels, “assures Sarah Wirtz. “This is only the decision of our client.” But if she is asked for a tip, she is happy to recommend hotels, the quality of which she has personally convinced herself: “Therefore, I am always on the road to test new hotels – im October, for example, in Hamburg. ”

The Cologne Trade Fair opened its doors from the 11th-13th of September 2018 for the HR Fair “Zukunft Personal Europe”, the leading fair for everything in the field of Human Resources and which I visited for the first time this year. The exhibition halls are divided into the fields of HR Services, Recruiting & Consulting, HR Software  and Hardware and HR Training & Learning – HR development. The #ZPEurope2018 contains all relevant topics from the working reality of now and offered me in addition a great and exciting outlook with visions and ideas for the future from the world of work of tomorrow. The fair is also an annual highlight for all seminar planners in the field of HR development who are involved in seminars, workshops, trainings and coachings – a great opportunity for me to share ideas and expand my network.

How do you find the right hotel or the suitable venue for your meeting, conference or event?

When searching on the internet, our customers are often overwhelmed by the huge number of hotels, their features and offers. There is an endless variety of search engines and providers that offer hotels. But which agency or online provider can be trusted and how do you find the hotel or the venue that suits best to the event or the conference that you are planning? In order to find the right venue for your event, you should ask yourself the classic W-Questions in advance:

Who: Who are your participants? Colleagues, customers, employees? Who do you invite and how many participants will have the event? For example, are you inviting management level with special requirements or new teams?

What: What do you want to organize? A conference, a seminar, an incentive, a congress, a trade fair, an event, a meeting? What are you looking for? A conference or meeting hotel, a congress centre, an event location, a trade fair hotel?

Why: What would you like to achieve with this event? What is the goal?

When: When will your event take place? How long should it last? Is it a day event or should there be one or more nights (and, for example, an evening programme)?

Where: Do you want to do your event abroad or in your home country, in a large or small town, or rather in a rural area? Or how about a very special location?

Why: Why do you organize this event? When looking for the right hotel or venue, it makes a big difference, for example, whether you organize a conference or an event. A conference is business-oriented and the focus is on the conveyance of business content, whereby an event is more oriented to leisure and the soft skills such as teambuilding are in the foreground.

How: When choosing hotels, you need to consider how many hotel rooms and how many meeting rooms are needed. The size and number of participants and the equipment of the room play an important role here. In addition, the planning includes the catering that is to be offered (conference packages, drinks, breakfast, half-and full board, welcome drink, etc.). And of course, we should not forget the budget and the cost that will be budgeted and considered.

“Hölzkenerin” rivals big hotel portals

Hamm – Even as a child, Sarah Wirtz was enthusiastic about travel, tourism and hotels. So she knew early on which professional career she would later take.

After six years with a leading online reservation system for hotel bookings, the “Hölzkenerin” has become self-employed and has been running the “Travel 2 Meet” agency from her office at Gallberg 14 in Hamm since the beginning of July. She takes mainly care about companies and business travelers. Whether congresses, events, conferences or other meetings: Sarah Wirtz, who can draw on a portfolio of several thousand of hotels, helps her clients to find the right place.

“For this, I need as much information as possible about the requirements that the hotel must bring with and how high the budget may be.” As soon as a suitable location is found, she will get the offers from the hotels, creates a clear overview and then presents the offers to the customers who can then decide and book the appropiate proposal. If necessary, she takes  also care of a supporting program.

Sarah Wirtz is a trained foreign language correspondent. After completing her education, she studied “International Business Administration” at the University of Applied Sciences Bochum and completed her “Master of Science in International Tourism Management” in the UK. During her studies, she entered the practice and gained experience in travel agencies and well-known international hotels.
